The safe inbox zero rule
Back up first, archive by default, delete only obvious junk. This keeps important mail searchable while still removing it from the inbox view.
If you are nervous about losing something, archive it. Archived Gmail messages leave the inbox but remain in All Mail and search.
A 30-minute cleanup sprint
- Export Gmail with Google Takeout and verify the archive.
- Search for newsletters and promotions you never read.
- Use Select all conversations that match this search.
- Archive or delete based on confidence.
- Unsubscribe from the senders that created the pile.
- Create filters for noisy messages that should skip the inbox.

Make the clean inbox stick
Inbox zero only lasts if fewer messages reach the inbox tomorrow. Unsubscribe aggressively, filter repeat notifications, and keep a simple weekly pass: answer, archive, or schedule.
